This Privacy Policy describes how Sphere Strategy LLC ("Sphere Strategy," "we," "our," or "us") handles information collected through our website at spherestrategy.com (the "Site"). This policy is distinct from the data processing terms that govern our client service engagements; those are addressed in our Client Services Agreement and accompanying Privacy Policy provided to clients directly.

We keep this simple: we are a B2B digital advertising firm, not a consumer platform. We don't sell personal information, we don't currently run advertising targeting visitors on our own website, and we don't intentionally build profiles of people who visit. Here's what we do collect and why.

For purposes of this policy, "personal information" means information that identifies, relates to, or could reasonably be linked to you as an individual, such as your name, business email address, or IP address. Note that business email addresses and names are considered personal information under many privacy laws even in a B2B context.

A. Information You Give Us

When you submit our contact form, we collect the information you choose to provide, which typically includes your name, business email address, company name, and message. We use this information only to respond to your inquiry. We do not add you to any mailing list without your explicit consent.

B. Information Collected Automatically

When you visit our Site, our hosting provider and analytics provider may automatically collect standard technical data, including:

  • IP address and approximate geographic location (city/region level — this location is derived from your IP address and may be imprecise)

  • Browser type and version

  • Device type and operating system

  • Pages visited and time spent on the Site

  • Referring URL (the page that linked you to our Site)

  • Date and time of your visit

We use this data in aggregate for website security, performance monitoring, and understanding general traffic patterns. We don't use it to identify individual visitors or build personal profiles.

The vendors involved in collecting this data — which may include our web hosting provider, email delivery service, and analytics provider — are contractually required to maintain appropriate safeguards and may not use data collected on our behalf for their own purposes. We don't currently name specific vendors here since our tooling may change, but you can request a current list by emailing info@spherestrategy.com. We'll also update this policy to reflect any material changes to our service provider lineup.

C. Summary: Categories, Purposes, and Recipients

The following summarizes the personal information we collect, why we collect it, who receives it, and how long we keep it:

  • Contact form data (name, business email, company name, message): Collected when you submit our contact form. Purpose: respond to your inquiry and maintain a record of the communication. Recipients: Sphere Strategy staff and our email delivery provider. Retention: up to 24 months from last contact, or longer if an active business relationship continues.

  • Internet / network activity (IP address, browser type, pages visited, device type): Collected automatically when you visit the Site. Purpose: site security, performance monitoring, aggregate analytics. Recipients: web hosting and analytics service providers. Retention: per analytics provider settings, typically 14 months or less.

2. Cookies and Similar Technologies

Our Site may use cookies and similar tracking technologies to support basic site functionality and analytics. We do not currently use cookies to serve interest-based advertising on our own website.

Types of cookies we may use:

  • Functional cookies: necessary for the Site to operate correctly (e.g., form security tokens). These may not be disable-able through our consent tool; however, you can still block or delete cookies at any time through your browser settings, which may affect how parts of the Site function.

  • Analytics cookies: used to understand aggregate visitor behavior (e.g., which pages are most visited). We use this data only to improve the Site. These are considered non-essential cookies.

We do not currently use third-party advertising cookies on spherestrategy.com. You can manage or disable cookies through your browser settings at any time. 3. How We Use Information

We use the information collected through the Site for the following purposes only:

  • Service providers: We work with a small number of vendors who help us operate the Site, which may include our web hosting provider, email delivery service, and website analytics provider. These providers access information only as necessary to perform their specific function, are contractually required to maintain appropriate security safeguards, and are prohibited from using it for their own independent purposes.

  • Legal compliance: We may disclose information if required to do so by applicable law, court order, or lawful governmental request. Where legally permitted, we may notify you before disclosing.

  • Business transfers: If Sphere Strategy is involved in a merger, acquisition, or sale of assets, information collected through the Site may be transferred to the acquiring entity, subject to equivalent privacy protections.

5. Data Retention

We retain contact form submissions — including your name, email, company, and message — for up to twenty-four (24) months from our last communication with you, or longer if an active business relationship or ongoing discussion warrants it or if retention is required by applicable law. We do not add contact form submitters to marketing lists without their explicit consent.

Website analytics data (IP addresses, pages visited, device and browser data) is retained per our analytics provider's default settings, which we configure to the shortest period consistent with our operational needs — typically fourteen (14) months or less. We use analytics reporting in aggregate and do not link individual visit data to named visitor identities in our own systems.

You may request deletion of your contact form submission data at any time by contacting us at info@spherestrategy.com. We will fulfill verified deletion requests within thirty (30) days. "Verified" means we have confirmed the request was submitted by or on behalf of the individual whose data is at issue, through reasonable means such as a reply from the email address used to submit the contact form. We may retain certain information even after a deletion request where required or permitted by applicable law — for example, to comply with legal obligations, resolve disputes, prevent fraud, or enforce our agreements. We will let you know if we are retaining information on that basis.

6. Data Security

We implement commercially reasonable security measures to protect information collected through the Site from unauthorized access, disclosure, or misuse. These measures include encrypted data transmission (HTTPS), access controls, and regular security monitoring of our hosting infrastructure.

No method of internet transmission is completely secure. In the unlikely event of a security incident affecting your personal information, we will notify you as required by applicable law.

7. Third-Party Links

Our Site may contain links to third-party websites, including our clients, partners, and industry resources. This Privacy Policy does not apply to those sites. We will respond to verified requests within thirty (30) days. If we need additional time to fulfill a request, we will notify you within that period and explain why. If we deny your request in whole or in part, you may appeal by replying to our response email with the subject line "Privacy Request Appeal" and a brief explanation. We will respond to appeals within thirty (30) days, with the same right to notify you if additional time is needed.

10. International Visitors

Our Site is operated from the United States. If you access it from outside the United States, information you submit — such as a contact form inquiry — will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country.

11. Washington State Residents

Sphere Strategy is headquartered in Washington State and seeks to comply with applicable Washington privacy laws. We do not intend to collect consumer health data as defined under Washington's My Health MY Data Act through this Site, and we are not aware of any such collection occurring through normal use of spherestrategy.com. Washington residents have the same rights described in Section 9 above.
